Fondazione Milano Cortina 2026 is the Organizing Committee for the Olympic and Paralympic Winter Games of 2026, carrying on the organization, promotion and communication of the sporting and cultural events related to the next Winter Games.

Milano Cortina 2026 will be the first large-scale Olympics in history: 13 Olympic venues, 21 provincial capitals, 2,300 municipalities directly involved, over an area of 22,000 square km.

The Milano Cortina 2026 Organizing Committee has been established in 2019 with the purpose of organizing Olympic and Paralympic Games in compliance with the Host City Contract signed jointly by the International Olympic Committee (IOC), the two cities of Milano and Cortina and the Italian National Olympic Committee (CONI).

Furthermore, the Italian Paralympic Committee, the Regions of Lombardy and Veneto, as well as the Autonomous Provinces of Trento and Bolzano/Bozen are all partners in this major national-level project, with the support of the Italian Government.

Position:

We are looking for Olympic and Paralympic Games Ceremonies Coordinator.

Reporting to the Ceremonies Manager you will play a crucial role in ensuring the seamless operation and coordination of services within the Olympic and Paralympic Games Ceremonies.

The Ceremonies Coordinator will be responsible for activities such as:

  • Assist and provide necessary coordination and supervision with the planning, scheduling, contracting and implementing of any Ceremonies operations and activities.

  • Collaborate with marketing partners in the planning and delivery of their services as well as activate external third parties to operate unbranded services.
  •  Work closely with facility and venue management.
  • Coordinate provision retail services guest passes, parking and related issues through contract arrangements.
  • Assist with daily management reporting and final reporting as assigned of In-Venue activities and operations.

    • Create and update the CER Issue Tracker for escalation to the Ceremonies Manager;
    • Collect all Clusters’ needs in terms of resources to coordinate numbers and find efficiencies among the different venues.
    •  Assist with the supervision of Ceremonies volunteers during Games time.
    •  Assist in every aspect of coordinating Ceremonies providers’ pre and post-Games operational plans.

    • Organizing Site Visit with stakeholders around all the venues..
    • Receive questions from and provide information to Ceremonies contractors..
    • Troubleshoot, problem solve and provide customer service.
    • Assist in the development of Ceremonies Venues policies and procedures
    • Provide Management shift coverage during load-in and load-out operations.
    • Attend meetings, produce reports and compiling date for Ceremonies, as assigned.
    • Coordination of the agenda with the commitments and activities of Ceremonies area.
    • Coordination with the other functional areas involved in the administrative planning of Ceremonies area commitments;

    • Capacity to autonomously manage and set documents, presentations and reports.
    • Support with the coordination of the CER Operations Team meetings.
    • Preparation and management of volunteer shift work.
    • Support with the preparation of the documentation for the procurement plan.
    • Support the Ceremonies Manager with the creation and distribution among the CER Team of guidelines, policies and procedures related to the CER Functional Area.

    • Support with preparation of training materials and planning tools for newcomers within the CER Team.

    • Taking care of the training activities of temporary staff and volunteers in particular for the activities dedicated to Ceremonies.

    • Support with writing and Organizing CER Policies and Procedures.
    • Perform any other duties as deemed necessary or as directed.

    Requirements:

    • Experience in major event management, including working with and coordinating suppliers.
    • Experience in detailed budgeting, planning, implementation and delivery of operations at international sport events, preferably in previous Olympics and Paralympics.

    • Communication and marketing skills, media relation, social and digital media management experience.

    • Good knowledge and understanding of the services/activities that should be delivered by External Partners.

    • Ability to plan, manage, drive, monitor and report different cluster working tables with internal

    FAs and local stakeholders representatives.

    • Previous experience in relations with public/local authorities would be a plus.
    • Positive attitude in negotiating with external partners, through the creation of an environment that encourages cooperation.

    • Fluent in communicating and writing both in Italian and English, knowledge of one or several other Olympic and Paralympic movement official languages is an advantage.

    • A general knowledge of the Olympic and Paralympic movements.
    • Knowledge of international sports media landscape.
    • Pro-active approach and creative problem-solving skills.
    • Ability to coordinate resources in structured contexts.

    Available to travel daily for long period and during the Event for more than 2 weeks, also with short notice.

    • IT experienced, excellent knowledge of Office and Mac Suite
    • Driving License.
