The International Olympic Committee is the guardian of the Olympic Games and the leader of the Olympic Movement.
A truly global organisation, it acts as a catalyst for collaboration between all Olympic stakeholders, including the athletes, the National Olympic Committees, the International Federations, Organising Committees for the Olympic Games, the Worldwide Olympic Partners and Olympic broadcast partners. It also collaborates with public and private authorities including the United Nations and other international organisations.
About the role:As the Games Delivery Trainee you will be offering support for projects managed by the Games Delivery Office in the Olympic Games Department and support the preparation and delivery of internal meetings and meetings with Organising Committees
Your responsibilities:
Project support:
- Support the Games Delivery Office on a a range of projects which are designed to provide support to Organising Committees using an effective project management. Including, initial needs assessment to technical development, implementation, and user adoption.
- Support the project leads of each of the Olympic Games and Youth Olympic Games in the preparation, delivery and follow-up of key Organising Committee meetings and workshops, across the entire lifecycle of a Games, for example, Coordination Commission (CoCom), Delivery Partner Meetings (DPM), IOC Sessions, IOC Executive Board Updates and YOG (Youth Olympic Games) Steering Committee
- Utilize project management tools and systems, such as the RADIO (Risks, Actions, Decisions, Issues, Opportunities) register, and the Consolidated Schedule to track project milestones, identify potential risks, and document actions taken. Regularly update the systems to reflect the current status and facilitate transparent communication among team members.
- Assist and support the Games Delivery Managers to keep the Games Delivery Hub (Sharepoint) up to date
- Support any other ad hoc activities required by the Games Delivery team
- Actively engage in project team meetings by providing updates on progress, communicating upcoming deadlines, and highlighting any missed due dates. Take responsibility for meeting logistics, including scheduling, technology setup, and note-taking to ensure accurate documentation of discussions and decisions.
- Support any other ad hoc activities required by the Games Delivery team
Data analysis and reporting:
- Collect relevant data from various sources to support decision-making processes. Analyse trends and insights to provide actionable recommendations that enhance project outcomes and operational efficiency.
- Collaborate with team members to create comprehensive reports, presentations, dashboards, and other outputs using Microsoft Office 365 applications. Ensure that all materials are tailored to the audience and effectively communicate key findings and recommendations.
Administrative and logistical support:
- Assist the Games Delivery Office team by organizing meetings and workshops. This includes preparing agendas, distributing materials, and ensuring that all logistical aspects are handled efficiently.
Stakeholder engagement:
- Foster strong working relationships with colleagues and stakeholders within the Games Delivery Office and the broader Games Management Team. Engage in open communication to understand their needs and expectations, ensuring alignment with project goals.
- Assist stakeholders in understanding and utilizing central tools, systems, and processes. Provide training and support as needed to facilitate smooth integration and enhance overall project efficiency.
Games-time responsibilities:
- During the operational phase of the Games, support the Games Delivery Office by managing various administrative and logistical tasks, whether in Lausanne or the host city. This includes coordinating schedules, managing resources, and ensuring that all team members have the necessary support to perform their roles effectively.
- Assist in Logistical Arrangements for GDO School Team Training: Help organize team training sessions by managing invitations, coordinating room bookings, and ensuring that all materials are prepared and distributed in a timely manner. Facilitate communication among team members to ensure everyone is informed and prepared for training activities.
Our requirements- University level education.
- Excellent English oral and written skills (Fluent French oral and written skills preferable).
- Excellent command of MS Office 365 applications (e.g. Outlook, Word, Excel, PowerPoint, SharePoint) Smartsheet.
- Ability to Excellent relationship building skills.
- Demonstrates an understanding of working in diverse and multicultural environments.
