Your Role

Reporting to the Event Project Management Director, this role will lead Formula E World Championship event projects as Senior Event Project Manager.


Key Deliverables

Responsible for the planning and delivery of established and new events. You will project manage select events on the Formula E World Championship Calendar through the planning, execution (including live event) and closing phases of the event lifecycle.


Act as right-hand to the Host City Director, providing integral support and working hand in hand on an event specific basis. More widely, across the business and locally within the event market, be the central point of coordination that pulls the event together holistically and is a key information source / fixer.


What You Will Be Doing

Project Management
  • Overall cross-departmental and stakeholders coordination to ensure a safe and successful event according to the specifications of Formula E.
  • Proactively steering and coordinating the cross-departmental planning process based on the objectives of the respective event locations, acting as a filter and conduit for race specific enquiries and requests from internal and external departments / colleagues.
  • Implementation of event-specific project management tools and monitoring of the overall project planning and delivery timeline, challenging internal processes towards continuous up-to-date industry standards.
  • Proactive championing internal usage of FE project management tool “Unity” – acting as PMO function for internal departments. Continuous feedback re: system functionality, with a focus on improvement.
  • Budget management of owned budget lines.
  • Proactive contribution towards departmental and company objectives.
  • Internal upward reporting (to the Host City Director and Event Project Management Director) of the status of the event planning.
  • Provide knowledgable input into future editions of the event (or new events at feasibility stage) including budgetary, operational and local market insights. Potential to participate feasibility study process for new markets or locations in existing markets.

Team Management
  • Line management of Event Project Managers and/or Event Project Coordinators and Intern within Formula E,
  • Work to develop strong succession plan within Event Project Management Team.

Local Relationships
  • Act as an Ambassador to Formula E, focused on optimising the experience of our client groups and their experience with Formula E, reflecting its values and ambitions.
  • Alongside Host City Director, build effective relationships with local stakeholders of the event including Local Team, local authorities, Venue, Businesses and others.
  • Scope the Local Team responsible for the production of the event in conjunction with the appointed Host City Director.
  • Develop local and regional networks that benefit and future-proof the health and stability of the event according to the FE market strategy.

Event Planning and Delivery Tasks
  • Liaise, support and advise internal and external stakeholders to ensure all event requirements are incorporated into their planning and operations for teams, guests, ticket holders and other client groups.
  • Information gathering and coordination of events permits & licensing, collaborating closely with Host City Director and “owning” the compliance aspect internally within FE.
  • Support Security and H&S colleagues to manage the safe planning and on-site coordination of all works, supporting their risk assessment.
  • Work closely with the Track & Overlay team, in partnership, throughout the planning phase and on-site operation. Give input as necessary into venue design and scheduling programs.
  • Ownership of the Event Management Plan – shared locally with authorities and internally.
  • Co-chair regular Event Planning meetings (including on-site), alongside other departments, driving the planning internally and with local counterparts.
  • Guide and support the appointed Event Project Manager and/or Coordinator for production of centralised planning documentation, Portals and Guidelines for each allocated race.
  • Oversee, guiding the appointed Event Project Coordinator / Intern, event-specific scheduling activities and documentation, including sporting-related procedures.
  • Guide (and on-board in new markets / locations) the Local Team responsible for the production of the event in operation service deliverables such as venue access plans, event procedures, cleaning, waste & recycling management (including ISO Certificate elements), traffic management, paddock beautification and others.
  • Work closely with FE Sustainability, Legal and Auditing Teams to ensure consistent and continuous compliance with ISO certificates, supporting company-wide compliance across event related management systems.
  • Support with legacy / community engagement elements aligning with FE’s values and commitments.
  • Issue resolution and pragmatic problem solving as items inevitably arise – anticipate issues / risks and pre-plan accordingly.
  • When applicable, presence in Event Control as required as central source of the event planning and operation.
  • Collaborate within the Event project Management Team to ensure a consistent approach across all events, ensuring Leads adhere to internal processes.

What We Are Looking For

Knowledge Required
  • Working knowledge of MS Office and program management software (e.g. Smartsheet, Basecamp, MS Project etc.)
  • Good knowledge of data analysis, reporting and budgeting
  • Intellectual capability equivalent to degree level
  • Advanced understanding of project / programme management methods
  • Clear appreciation of the dynamics of event organisations

Experience Required
  • Proven demonstrable experience in the Event / Sport Event Industry
  • Proven experience in managing a dynamic team from international backgrounds.
  • Hands-on experience driving resourceful and focused projects with the ability to demonstrate results
  • Proven experience in similar position managing complex temporary events of a significant scale, across international markets
  • Proven experience / ability to oversee multi-stakeholder delivery team and an understanding of the challenges faced
  • Proven experience / ability to recognise and contribute to strategic, tactical and operational activities

  • Clear and effective communicator with outstanding relationship building and stakeholder management skills
  • Excellent organisational, management and leadership skills
  • Commercial acumen with a strategic ability
  • Ability to work autonomously in pressured environments
  • Willingness to travel is essential, often for sustained periods and at short notice
  • Must respect and embrace FE’s values
  • Foreign language skills / fluency a bonus
